Executive Assistant to the CFO

As the Executive Assistant to the CFO, you will be an integral part of our dynamic team. Your primary responsibility will be to provide high-level administrative and secretarial support to the CFO, ensuring smooth operations and efficient communication within the Executive Office.

Your new role

  • Acting as the first point of contact for the Executive Office, handling enquiries, scheduling meetings, and managing the CFO's calendar.
  • Independently manage administrative tasks, including travel arrangements, expense reports, and correspondence.
  • Cultivate strong working relationships with university leaders, external organisations, and administrative assistants across the university.
  • Liaise effectively to coordinate activities and ensure seamless communication
  • Provide clear briefings on upcoming events and activities to keep the executive team informed.
  • Ensure timely dissemination of information to support effective decision-making.
  • Handle incoming calls professionally, redirecting as necessary or taking messages.
  • Use initiative to manage queries and prioritise urgent matters.
  • Respond to standard correspondence within agreed parameters.
  • Escalate high-priority emails to the CFO as needed.
  • Assist in drafting and editing executive communications.
  • Liaise with academic and professional staff across the university and external partners.
  • Organise and service key senior meetings and executive committees.
  • Prepare agendas, collate papers, create presentations, and take minutes.
  • Provide administrative expertise for ad-hoc projects.
  • Collaborate with internal teams to drive initiatives forward.
  • Coordinate meeting logistics, including agenda preparation, document formatting, and follow-up on action items.

What you'll need to succeed

  • Significant experience of working as a senior level Executive Assistant, preferably in a large and complex organisation.
  • Experience of complex electronic diary management with the ability to manage and prioritise conflicting internal and external meetings.
  • Excellent digital literacy and IT skills, and experience of using Microsoft Office 365 tools for communication and collaboration on a daily basis, including substantial experience of Word, Teams, Outlook, Excel and PowerPoint.
  • An ability to prioritise your own workload and adapt to constantly changing demands, working under sustained pressure and to tight deadlines.
  • Excellent interpersonal and communication skills including the ability build and maintain relationships and effective communication with individuals and organisations both internally and externally to the university, as required.
