Site Administrator

We are seeking an experienced Administrator to join a well-known brand based in Forest Gate, London. You will ideally have experience working in an FMCG environment.

  • Pay rate: £15.38 p/h
  • Days: Mon-Fri
  • Hours: 37.5 hours per week, 9am-5pm/8am-4pm

Overview:
The Site Administrator will be responsible for supporting the Senior team by providing timely and accurate information and maintenance of associated computer systems as well as providing information as required to various other departments. They will maintain a positive and friendly company image by acting as the first line of contact to visitors, customers, and vendors in person, online, and via telephone.

Key responsibilities

  • Completion of Production and Despatch reconciliations for the site within the established timescales.
  • Report on overall equipment efficiency, materials usage and weekly stock closing
  • Stationary management within budget constraints.
  • Manage phone calls, and outgoing posts and records data on special deliveries
  • Assist in raising purchase orders, GRN and invoicing for various departments
  • Manage the reception area and look after visitors ensuring they are inducted onto the site and are aware of safety measures including fire assembly points, bathrooms, smoking areas etc.
  • Arrange and support all on-site meetings by scheduling appropriate meeting times, booking rooms, and planning refreshments.
  • Manages correspondence by answering emails and sorting mail on time
  • General administration support for the site including filing compliance documents and data entry/ reports by shift on capacity, waste, etc.
  • Assist in the planning and arranging of site events, including organising catering and appropriate communication with the workforce
  • General administration support for site including filing, note taking, photocopying and data entry as required.
  • Support with any additional ad-hoc administrative duties as required.
  • Liaise with the Despatch department to assist with the collection of charity bread donations

Qualifications:

  • GCSE English and Maths
  • Excellent working knowledge of Microsoft Office particularly, Word, advanced Excel and PowerPoint.
  • Strong time-management skills and multitasking ability

Experience required:

  • Proven administrative experience
  • Working knowledge of system 21(ERP) and SAP
  • Experience of working in multi-lingual, multi-cultural team is desirable
  • Experience working in a FMCG environment.

  • Ability to multi-task and prioritise.
  • Communicate at an advanced level, both verbally and written
  • Ability to understand the dynamic of the SLT and their preferred way of working and adapt accordingly to enable effective communication
  • Mindful of behaviour, acts professionally in all communication given the role represents the site
