Location: North London
Hours: Monday to Friday, 9.00am to 5.00pm (hybrid working Monday and Thursdays office based)
Salary: £15- £18 per hour depending on experience

About the Role:

I am currently recruiting for an experienced administrator to join an independent social action charity working throughout England and Wales. You will deliver efficient and high-quality administrative support services to the staff you will ensure the smooth running of the office environment, to enable the project staff to deliver high quality services to vulnerable people.

  • Act as the primary point of contact for all enquiries
  • Respond to and follow up all day-to-day enquiries ensuring swift and accurate responses.
  • Deal with client enquiries ensuring their needs are met sensitively and appropriately.
  • Monitor the efficiency and effectiveness of organisational systems and working practices making recommendations for improvement to the CEO
  • Maintain effective computerised and paper-based filing systems, including management of confidential client files and records.
  • Create and keep up-to-date organisational databases and produce standard reports as required by the CEO and management team.
  • maintain diary systems and rotas to ensure accountability.
  • Ensure the smooth running and operation of the office, providing administrative support to each project as required.
  • Co-ordinate monthly staff meetings and other project meetings, providing accurate minutes of these as required, arranging refreshments, and assisting in the preparation and distribution of papers and ensuring all pending issues are followed up.
  • Ensure all invoices and expenses are processed for payment
  • Check invoices are correct before they are authorised by the CEO.
  • Provide the Finance Officer with the information they require to undertake their role
  • Compile reports as required by the Director and present findings accordingly.
  • Support project fundraising including liaising with funders and assisting with reports to donors.
  • To monitor and manage the procurement of office supplies, stationery, equipment and furniture.
  • To be responsible for the use and upkeep of the premises in line with leasing arrangements; ensure all maintenance and repairs are carried out and that the offices are clean and welcoming

The ideal candidate:

  • Experienced in delivering high quality, service user focused administrative services.
  • Able to work independently, with sound judgement, good time management and prioritisation skills.
  • Consistent attention to detail and ability to work to deadlines is critical.
  • Experience of managing a high volume, dynamic workload with multiple competing priorities.
  • Experience of developing, maintaining and reporting from databases, specifically Salesforce.
  • Use computer packages to a high standard, including Microsoft Word, Excel, Outlook Access and Power Point and extensive use of the internet.
  • The ability to problem solve, seeking appropriate support where necessary.
  • Ability to model interpersonal communications which is clear and be friendly, approachable and have a ‘can-do' attitude.
  • Excellent written, numeracy and verbal skills.
  • Knowledge of and commitment to faith-based organisations and sympathy to their ethos would be an advantage
