We are seeking a dedicated and detail-oriented Administrator to join our client's team in Dalmarnock. This role involves providing comprehensive administrative support across various selection assessment stages and building strong relationships with customers and stakeholders to deliver an effective national recruitment service.

Key Responsibilities

:

  • Provide administrative support across a range of selection assessment stages and build relationships with customers and stakeholders.
  • Act as a point of contact for specific customers or departments to deliver an effective service, prioritising workload to meet deadlines.
  • Process and check recruitment documentation with a high level of accuracy to mitigate potential risks.
  • Use a range of IT systems for intranet and internet functionalities to create, amend, prepare, publish, and edit recruitment adverts and documents.
  • Respond to enquiries from internal and external parties via telephone, email, and face-to-face interactions.
  • Monitor the progress of allocated vacancies, liaising with applicants and relevant business areas to ensure effective completion of the selection process.
  • Liaise with HR recruiting colleagues across Scotland and other key stakeholder departments (vetting, occupational health, finance) for updates and information.
  • Assist with facilitating, administering, and supporting selection interviews for the recruitment of police staff.
  • Collect and process ID documents to commence vetting for successful candidates.
  • Prepare and deliver relevant communications to update candidates on their progress and the final outcome of their application.
  • Assess and self-manage risk within all aspects of the role.

Essential Skills/Qualifications

:

  • Educated to SQA Standard Grade level (or equivalent) plus relevant administrative experience.
  • OR
  • Proven administrative experience within an office environment where no formal qualifications exist.
  • Excellent communication and interpersonal skills, ensuring the best service possible for customers.
  • Displays motivation, commitment, integrity, and acts ethically.
  • An open and approachable team player who forms productive working relationships.
  • Keen to learn and responsive to change.
  • Ability to handle situations with diplomacy and empathy, appreciating the importance of confidentiality.
  • Ability to organise own workload, multitask, and prioritise work to meet deadlines.
  • Motivated to deal with routine problems.
  • Adaptable and flexible to meet job demands, often at short notice.
  • IT literate with experience in Microsoft Office, Word, and Excel software.
