Payroll Administrator

100% Office based role, in the heart of the City of London.

This role aims to ensure workers and contractors are paid following SLA contracts for workers and contractors across the European Union (EU) and the Rest of the World (ROW).

Skills, Experience and Knowledge

  • An understanding of payroll processes at high volume
  • Ability to work under pressure and to a strict deadline
  • Excellent communication internally and externally
  • Strong administrative skills
  • Ability to learn and be productive with CRM/ portal and payroll software
  • Collecting and maintaining employee personal information
  • Producing payslips
  • Producing final payslips
  • Preparing documentation for audit purposes

Essential Experience Required

  • The understanding of payroll taxation in the EU & ROW
  • Experience in administering payroll processes
  • Experience in compliance-led documents to confirm eligibility to work in the country
  • Exceptional communication skills
  • Understanding timesheets and how to process them
  • Chasing contractors to complete/ amend/ verify timesheets
  • Collecting and maintaining worker and contractor personal information for their profile
  • Updating worker and contractor records when verified regarding status and salaries
  • Awareness of deductions for employee benefits i.e. health insurance/ voluntary deductions
  • Exceptional organisational skills, including time management, prioritisation of relevant and immediate tasks to support the workflow
  • This role is pivotal in supporting payments of people across the world, attendance is key as it disrupts the status quo if attendance is poor
  • Handling general queries relating to pay from workers and contractors
  • Ensuring payslips/ pay statements are electronically communicated with workers and contractors within specified timescales outlined
  • Communicating and collaborating with HR departments for the start and completion of projects/ employment
  • Working collaboratively with the finance department
  • To deduct and salvage over payments/ monies owed/ incorrect tax levies per the law of the country the worker/ contractor is placed (debt recovery)
  • Data entry of timesheet into the ERP (invoice system)
  • Submission of timesheet to ensure payments are made within the correct and agreed timescale
  • Invoice preparation for agencies/ clients, chasing up missing payments when needed
  • Ability to resolve and articulate any discrepancies/ issues regarding billing
  • Updating and maintaining data on portals/ CRM/ system relating to invoices and timesheets regularly
  • Updating project information on client and contractor profiles, ensuring the information is accurate and up to date
  • Ability to understand and query invoice practices to ensure they are relevant to the current law and regulations
  • Be mindful of potential improvements in the process and workflows, and discuss implementing change to the Payroll Manager

  • Proficient in MS Office suite of products
  • Confident communicator (written, verbal, audible)
  • IT Savvy, and can adapt to new or different CRM systems/ portals and general software after training

  • Ability to speak another language (not essential but advantageous)
