We are looking for a experienced, proactive and highly organised receptionist and Team assistant to join a successful investment firm based in the West end of London.

Your role will consist of reception duties for the office as well as providing administrative support to 3 principles and their teams.

What you'll be doing

Reception Responsibilities:

  • Greet clients and visitors professionally, directing them to meeting rooms and offering refreshments.
  • Answer incoming calls, transfer calls, and take detailed messages.
  • Manage meeting rooms, including refreshments, allocation, and visitor notifications.
  • Assist in maintaining phone books, staff details, and passport documentation.
  • Collaborate with main reception to create access passes for office entry.
  • Handle courier, stationery, taxi bookings, and make reservations as required.
  • Coordinate lunches for external guests and senior staff.
  • Ensure daily office supplies like fruit, milk, and snacks are stocked.
  • Assist in printing and other ad hoc responsibilities to support the team.

Team Assistant Responsibilities:

  • Manage extensive diary and travel arrangements.
  • Facilitate meetings by preparing documents and relevant materials.
  • Organize itineraries and ensure a streamlined calendar for efficient scheduling.
  • Proactively handle emails, correspondence, and queries.
  • Manage expense reports and reimbursement processes.
  • Screen calls, distribute correspondence, and ensure efficient communication flow.
  • Coordinate meeting rooms allocation and organize meals.
  • Support other administrative colleagues as a collaborative team member

What you'll need.

  • Minimum of 3 years' experience as a Receptionist/Team Assistant or Administrative Assistant, ideally
  • within Financial or Professional Services.
  • Prior experience with Calendar Management (Microsoft Outlook) and MS Office.

  • Highly articulate (verbal and written), organised and detail oriented.
  • The ability to work effectively as part of a team.
  • Motivated and able to work calmly under pressure.
  • Able to multi-task and juggle constantly changing diaries.
  • Excellent time management skills and the ability to prioritise work.
  • Adept at understanding the needs of the individuals that he/she will be supporting and able to execute

with limited guidance, working proactively.

  • Ability to work to deadlines and take direction.
  • Demonstrates the willingness to check and respond to emails outside of office hours, when required.
  • Self-starter, tenacious and willing to "go the extra mile".
