A wonderful not-for-profit charity organisation based in central London is looking for a

Receptionist/Administrator

to join their team on a four-month contract. This role is 100% site-based, working Monday to Friday during office hours. The salary for this position is

£28,654.00 per annum pro rata

As the first point of contact, you'll provide a warm, welcoming front-of-house service for visitors and tenants while delivering a professional, customer-focused administrative service to colleagues and the wider team. Working within a small, dedicated front-of-house and facilities team, you'll foster a sense of community that aligns with the organisation's mission and values.

Your role will involve managing a range of central services, including reception, distributing and franking mail, supporting meeting rooms, and handling bookings for hotels, travel, and couriers. You'll also assist with data entry and general administrative tasks.

In addition to these duties, you'll provide vital support to the team by preparing documents, recording cheques and processing donations, and keeping mailing lists and databases up to date. You'll ensure callers receive excellent service through the switchboard, directing them to the appropriate departments with ease.

At the reception desk, you'll be the friendly face of the organisation, greeting visitors warmly, issuing security passes to guests and contractors, and managing deliveries and couriers. You'll also be responsible for setting up and supporting onsite meetings, ensuring rooms are ready, refreshments are prepared, and everything runs smoothly.

You'll help manage the multi-functional space on the ground floor, keeping it clean and tidy, and making sure refreshments are always replenished. Your day-to-day work will include responding to emails and face-to-face enquiries, assisting both colleagues and visitors.

With a keen eye on compliance, you'll ensure data protection legislation is followed, and you'll also lend support to administrative colleagues across other teams when needed, including during busy periods or for specific projects.

Working closely with the Facilities team, you'll assist in implementing the Fire Emergency Evacuation Plan and health and safety procedures. This may involve liaising with contractors and supporting planned maintenance works.

Finally, you'll be ready to take on any other reasonable duties as required by the Front of House Manager, the Building and Facilities Manager, or the Executive Director of Finance and Resources, contributing to the smooth running of the office.
