Personal Assistant to the Chair

This nationally important organisation is looking for a high-profile Personal Assistant to support its Chair on a full-time, permanent basis.
Your new role
As the PA to the Chair, you will be providing professional and discreet support to the newly appointed Chair of the organisation, whilst also providing flexible support to the Board. In this position, you will be responsible for managing the Chair's schedule, coordinating travel arrangements, updating the annual meeting schedule, handling Board and Committee papers, prioritising and responding to incoming correspondence (both paper and electronic), and drafting relevant responses. You will proactively anticipate the Chair's needs, ensuring they have the correct information and support to enable them to efficiently carry out their vitally important role. Additionally, you'll conduct research, gather information from internal and external sources, and prepare comprehensive briefing papers and reports for the Chair, maintaining discretion and confidentiality of subject matters. Close collaboration with members of the Corporate Leadership Team (CLT) and Board is essential to ensure effective communication and management. You will also be required to deliver a high quality, customer-focused service and cultivate relationships with key stakeholders.
You will be working on a mainly remote basis with the flexibility to frequently travel to the Motherwell and Stirling offices as required. Reporting to the Unit Manager for the CLT & Board Support, you will be part of a successful, high-profile support team, working collaboratively to achieve maximum business outcomes.

What you'll need to succeed

  • Proven experience in a similar, public sector PA role supporting the C-Suite and/or Board.
  • Knowledge of governance, legislative records and information management.
  • Working knowledge of Microsoft packages.
  • Excellent writing skills, including the ability to take accurate minutes at Board and committee meetings.
  • Budgetary management experience.
  • Confidence in rapport building and negotiation skills.
  • Organisational and team-working skills.
  • Professional written and oral communication.
  • Time management and the ability to work to tight deadlines with high attention to detail.
  • Effective political/influencing skills and ability to act with tact, diplomacy and integrity.
