Our Client, a leading non-profit organisation in Gateshead, is seeking an Admin & Operations Supervisor to join their dedicated team on a fixed-term contract basis to cover maternity leave. This super varied role will see you managing a team and overseeing operational support functions to ensure smooth day-to-day operations.

The Role:

To lead the team responsible for the efficient and timely delivery of support functions to ensure operational activity can continue on a day-to-day basis. Responsible for ensuring the smooth running of operational support functions including stock control, ordering, maintaining building security, and dispatch of finished production output.

Main Responsibilities :

  • Lead a team of 7, overseeing holiday, sickness, and absence management.
  • Work cooperatively across teams, ensuring business needs are met and providing support and advice to maintain service levels.
  • Responsible for purchasing ad hoc requests using company GPC card, ensuring all records are complete accurately and timely.
  • Oversee stock requirements to ensure optimal levels are maintained at all times.
  • Liaise with commercial clients and produce accurate reports of stock usage.
  • Oversee monthly and end-of-year stock takes ensuring accurate data is recorded and liaise with external auditors at year-end stock take by providing accurate information in response to queries.
  • Manage supplier relationships to ensure production materials are received timely, cost-efficiently, while maintaining quality standards.
  • Manage Sub Contracted stock process and maintain an accurate audit trail.
  • Support new product introduction by leading on raw materials, costings, and delivery times.
  • Responsible for improving production materials by sourcing suitable alternatives to support efficiencies, reduce waste, and cut costs.
  • Manage reception function including meeting and greeting visitors, ensuring security is maintained at all times by working within customer assurance requirements.
  • Responsible for carrying out local inductions for new starters.
  • Responsible for managing Royal Mail and Couriers for timely dispatch of all finished production output goods and ensuring all records are maintained for accurate invoicing.
  • Oversee work of Operational support team making decisions about priorities in relation to deployment of resources against work allocation; ensuring quality standards are maintained.
