Role Overview :

An exciting opportunity to join our Auctions team on a 6 month FTC basis as our Auctions Operations Manager. Co-ordinating and overseeing the compliance of both buyers and sellers, launch of a catalogues and contractual process for the Auction Department. This includes the direct management of 3 Team Assistants who provide a variety of support to the negotiators within the team.

Our Auctions team has built a strong reputation in the auctions sector. We have a proven track record in working with clients across the residential and commercial spectrum including owner occupiers, investors and developers through to local authorities, housing associations, charities, receivers, executors, trustees, government bodies, utility and property companies.

From initial appraisal and appointment to exchange of contracts and completion, our dedicated team provides expert guidance and advice throughout the whole process. Our own experience, combined with the local knowledge of Savills national network, specialist departments and constantly-updated research intelligence, gives us the resources, expertise and reputation for offering an unrivalled level of service to our clients.

Key Responsibilities :

  • Co-ordinating out going communications, incoming documentation and being one of the main points of contact for auction day buyers, obtaining the correct ID documents, sending onto compliance, updating Monday.com with the latest updates. Taking views as required on deposit requests and non-standard checks as necessary.
  • Preparing, signing and sending of contracts – includes the raising of the sale memos, sending via DocuSign and ultimate circulation of contracts to relevant parties.
  • Delegating and/or conducting pre and post auction compliance checks, deposit requests and the contractual process.
  • Signing of auction day contracts on behalf of Savills – making sure all the documentation within is correct, overseeing amendments if required.
  • Checking the bank account for incoming payments, being a second authoriser for outgoing payments and creation of new templates as required.
  • The ability to raise purchase orders, invoices, receipts and credit notes if required.
  • Being a point of contact for sellers, purchasers and their solicitors. Answering questions, providing assistance and updating Monday.com as and when is applicable. This might include the sending of legal packs, coordinating the receipt of updated information and managing completions.
  • Approving bidders and maintaining the auctions and bidding inboxes.
  • Answering the auction landline phone to general enquires assisting or redirecting the call as required.
  • Monitoring workload of the Team Assistant's in order to ensure all tasks are accurately completed in appropriate time frames. Flagging difficulties such as potential changing work load patterns to appropriate Directors.
  • Assisting from time to time with the design and delivery of further technological improvements to increase efficiency within the team.
