My client who specialises in high-quality electrical safety training and consultancy services are currently looking for an Office Administrator to work alongside their Engineering Consultant on a part-time basis.

Duties:

  • Use a range of Microsoft Office software including Word, Excel, Outlook and PowerPoint to ensure the efficient running of the office.
  • Provide general administration duties, including data entry, web page maintenance and updating, travel bookings, catering and room bookings, meetings minutes, filing and photocopying.
  • Manage cloud-based online and paper filing systems.
  • Deal with telephone, email and personal enquiries appropriately, executing enquiries directly whenever possible and referring others to the appropriate member of staff.
  • Welcome and sign in visitors to the site.
  • Arrange and distribute, when necessary, catering services for visitors and guests.
  • Purchasing of stationery and equipment, publicity materials and all items for courses.
  • Arranging the servicing of IT equipment such as the office photocopier.
  • Arranging essential building maintenance tasks to be completed by contractors.
  • Ordering IT equipment as required and authorised by Management.
  • Assisting other team members during busy periods and providing cover for other office administrators for annual leave.
  • Contribute to the company social media and advertising accounts.
  • Procurement of materials and equipment required for courses.
  • Adhere to safety policies and ensure they're observed
  • Check that data protection laws are being adhered to in relation to the storage of data, and review and update policies

You will need to have:

  • Excellent organisational and time management skills.
  • Working knowledge of Microsoft Office Suite (Word, PowerPoint, Excel) and other commonly used office packages.
  • The ability to prioritise tasks and work under pressure.
  • Good teamworking skills.
  • The ability to manage your own workload.
  • Excellent interpersonal, oral and written communication skills.
  • Attention to detail.
  • Flexibility and adaptability to changing workloads.
  • A problem-solving approach to work.
