Our client is one of the largest private property companies in Europe with property related investments, developments and business interests exceeding £9 billion in numerous countries, including the UK, Europe, Monaco, USA, Caribbean, Ukraine, Cuba, and Panama. You will be Reporting to the Head of Transactional Finance, the candidate will assume responsibility for the management of the portfolio of service chargeable properties and will be expected to ensure that year end reconciliations are completed according to RICS regulations.

Key Responsibilities

  • Manage a portfolio of service chargeable properties
  • Preparation of quarterly analysis of service charges in required format
  • Maintenance of standardised service charge codes within the system across all properties
  • Preparation of annual service charge budgets, apportionments and on accounts calculation
  • Review leases to ensure that correct apportionments are applied
  • Preparation of year end service charge reconciliations including invoice collation, analysis of income and expenditure, journals and accruals
  • Communicate variances to budget and statement of funds to internal management
  • Liaison with Asset Managers, Building Managers, External Management Agents
  • Review and code invoices according to programme
  • Complete year end closure and billing of balancing service charges to tenants.
  • Monitor cost on a regular basis and compare against budgets
  • Reconcile demised utility recharges based on collated meter readings and post journals to credit service charge liability.
  • Enhance efficiency of service charge processes between Managers and Credit Controller.
  • Respond to tenant queries in a timely manner
  • Assist with General ledger maintenance
  • Any other ad hoc administrative tasks as required

Requirements

  • The person will join a small hard-working team and must be able to work closely with and communicate well to that team.
  • The person should have a thorough knowledge of the property business gained from either an agency or property investment company.
  • Highly IT literate with excellent spreadsheet skills; knowledge of property management systems is essential. Trace Tramps/Bluebox would be an advantage.
  • The jobholder needs to be able to work on their own initiative, be adaptable with good organisation skills and be able to plan their workload and resolve problems efficiently.
