About Us

We are looking for an enthusiastic administrator who is interested in working to support the Contact Service to carry out work within the Children and Families Department. You will be joining a small and friendly team who provide support to each other and to the service and who are committed to delivering a targeted and effective service to families in need.

Job Purpose

To provide comprehensive clerical, administrative, and financial support to operational services, ensuring adherence to business standards and processes, and maintaining confidentiality and safeguarding.

Key Responsibilities

  • Business Standards and Processes: Work to defined business standards and processes, performing a wide range of business support tasks with due regard to confidentiality and safeguarding.
  • Advice and Guidance: Provide advice and guidance to customers, business partners, and others on business processes and operational service issues.
  • Information Management: Create, manage, and manipulate information related to finance, staffing, customers, or other service requirements. This includes producing bespoke and complex reports.
  • System Development: Develop basic systems and processes to meet operational needs and ensure the high quality of information held.
  • Financial Support: Undertake a range of financial support processes, including processing orders, resolving issues, reporting, reconciling accounts, and handling cash.
  • Meeting and Event Organization: Organize meetings and events, including booking venues, issuing invitations and papers, and taking minutes/actions arising.
  • Reception Duties: Undertake reception duties, meet and greet visitors, provide direction, and give advice and guidance to basic enquiries.

  • Accuracy and Quality: Ensure the accuracy and quality of information within the responsibility of the post holder.
  • Process Compliance: Ensure correct processes are followed and alert the appropriate manager to ensure compliance.
  • Policy and Regulation Adherence: Ensure adherence to corporate policies and financial regulations.
  • Operational Support: Work efficiently and effectively to support operational services.

Person Specification

Education and Knowledge:

  • Good literacy and numeracy skills to NVQ 2 level or equivalent.

Personal Skills and General Competencies:

  • Commitment to excellent customer care.
  • Ability to work efficiently and effectively, actively seeking ways to improve services and outcomes for customers.
  • Ability to work well with colleagues and independently.
  • Commitment to providing a safe environment for customers and staff, treating all with respect and consideration.

  • Exceptional time-management skills, good grammar, and literacy skills.
  • Ability to prioritize workload and handle confidential information in line with General Data Protection Regulations (GDPR).

Experience:

  • Experience of providing business support in a busy environment.
  • Experience of data input and data management, ensuring accuracy and confidentiality where appropriate.
  • Significant experience and competence using IT and common business support packages, including Word, Outlook, Excel, and SharePoint.
  • Experience of note and minute taking.
  • Experience of providing information to the public or customers using good communication skills.
  • Experience of using defined business processes and giving guidance on them to colleagues.
