We are seeking an Operations Administrator to provide essential secretarial and administrative support to our client's management team. This role is pivotal in ensuring the smooth operation of management systems and requires a proactive individual who can cover for the Operations Manager during absences and contribute to the maintenance of our Quality Management System.

Day to Day of the Role:

  • Provide cover and support to the Operations Manager during holiday and sick leave.
  • Participate in Management reviews of the Quality Management System.
  • Ensure adherence to ISO9001 and ISO45001 standards and suggest improvements.
  • Report any instances of service failure to the Manager.
  • Carry out tasks in accordance with documented procedures and training received.
  • Participate in internal audits of the quality management system.
  • Monitor attendance and address issues on shift for both stevedore and garage operations.
  • Oversee the maintenance and repair of the company's vehicles and plant equipment.
  • Maintain vehicle fuelling records and ensure all work is undertaken according to safe working practices.
  • Attend Operational, Health & Safety, Works, and Welfare meetings.
  • Provide typing, reception, and telephone support to management as required.
  • Maintain Purchase book, Petty cash box, Correspondence, and Personnel files.
  • Keep the General Manager and Company Accountant informed of personnel issues, damage claims, etc.
  • Ensure adherence to safe working practices as defined by PHS management.
  • Complete accounting tasks as directed by the Company Accountant.
  • Manage the purchasing of office consumables.
  • Collate end-of-month Management accounts.

Required Skills & Qualifications:

  • Proven experience in an administrative or secretarial role.
  • Familiarity with Quality Management Systems, ISO9001, and ISO45001.
  • Strong organisational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Proficiency in office management software and accounting tasks.
  • Ability to work independently and as part of a team.
  • Attention to detail and problem-solving skills.
