Job Title: Executive Assistant
Department: Policyholder Disputes
Location: London
Reporting to: Head of Policyholder Disputes

Purpose of Role: Provide high-level support to the Head of Policyholder Disputes and the wider department.
________________________________________

Key Responsibilities:

  • Support Leadership: Assist the Head of Policyholder Disputes and represent the team as the main point of contact for partners and the department.
  • Coordination: Organise departmental processes and events, including reporting, social activities, and training workshops.
  • Diary Management: Handle extensive diary management by arranging meetings, interviews, travel, and client entertainment. Utilise initiative to make decisions on behalf of others when needed.
  • Documentation: Type and draft correspondence, notes, reports, emails, forms, minutes, spreadsheets, and slides.
  • Client Relations: Manage professional relationships with clients and stakeholders, acting as gatekeeper for calls and emails.
  • Communication: Address client queries and communicate effectively with clients and colleagues.
  • Administrative Tasks: Perform organisational tasks such as copying, proofreading, and extensive file management.
  • Accounting Support: Process invoice payments, time recording, assist with billing, handle expenses, and prepare financial statements.
  • Data Management: Maintain client data and assist with marketing activities.
  • Ad-Hoc Duties: Undertake a variety of ad-hoc duties and projects as assigned.

Key Skills and Attributes:

  • IT Proficiency: Advanced IT skills, including experience with spreadsheets and databases, and the ability to adapt to new technology.
  • Writing Skills: Strong written skills, with the ability to compile data analysis and write reports.
  • Judgement: Demonstrates excellent judgement and discretion regarding confidential and commercially sensitive information.

Previous Experience:

  • Extensive legal secretarial/PA experience within a law firm or professional services organisation.
