Secretary

Secretary / Administrator required for financial services clinet to include all administration duties for the Partners/Advisors of the firm and work well as part of a team. You'll be involved with the co-ordination and implementation of office procedures and will frequently have responsibility for specific projects and tasks. The majority of your work will involve both written and oral communication, word processing/typing and dictation, and requires relevant skills such as IT as well as the ability to multi-task and work well under pressure.

Tasks

As a secretary, you'll need to:

  • Be proficient at dictation – audio and copy type
  • Proficiency in Microsoft - Word/Excel/PowerPoint/Outlook
  • Use our internal management system – CCH (Training required)
  • Use and understand the CCH billing system/month end billing required (Training required)
  • Understand our Anti Money Laundering (AML) procedures and work closely with our AML officer (Training required)
  • Deal with telephone and email enquiries
  • Photocopy/print/scan various documents
  • Organise and file paperwork
  • Manage filing system/archiving of files
  • Sort and distribute incoming post
  • Send outgoing post with the use of a franking machine
  • Keep diaries for all Partners and arrange appointments
  • Set up Zoom/Team calls
  • Schedule and if necessary, attend meetings, create agendas/take notes
  • Liaise with external contacts, clients/suppliers
  • Help with arrangements of in-house and external events and attend, if necessary
  • Help and support your team and the office manager

Skills

You'll need to have:

  • Proven work experience as a Secretary, Administrative Assistant or Personal Assistant
  • Team working ability
  • Good time management
  • Good communication skills, written and verbal

  • The ability to plan/prioritise your own workload, use your initiative and meet deadlines
  • Tact, discretion and respect for confidentiality
