Construction Administrator - Refurbishment & Fit out Contracting

Our client, a leading fit-out and refurbishment main contractor, is seeking an experienced Construction Administrator to join their expanding team.

As the Construction Administrator, you will provide important administrative support within the office, assist the finance team, and work closely with buyers. The ideal candidate will have a background in construction and be adept at handling comprehensive office support tasks.

Construction Administrator - Refurbishment & Fit out Contracting

Responsibilities

  • Document Management: Organising, filing, and managing project documents, contracts, and correspondence.
  • Project Coordination: Assisting in the coordination of construction projects, including scheduling meetings and tracking project time lines.
  • Communication: Acting as a liaison between project managers, subcontractors, clients, and other stakeholders to ensure clear and timely communication.
  • Budget and Finance Support: Assisting the finance team with budget tracking, invoice processing, and expense reporting.
  • Procurement Support: Supporting the procurement team by managing purchase orders, tracking deliveries, and maintaining supplier relationships.
  • Compliance and Permits: Ensuring all necessary permits and licenses are obtained and maintained throughout the project life cycle.
  • Report Preparation: Preparing regular status reports, meeting minutes, and project updates for internal and external stakeholders.
  • Office Administration: Managing day-to-day office operations, including ordering supplies, handling mail, and maintaining office equipment.
  • HR Support: Assisting with on boarding new employees, managing time sheets, and maintaining employee records.
  • Customer Service: Addressing client inquiries and concerns promptly and professionally.

Requirements

  • Proven experience in a Construction Administration or similar role
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Experience using Sage 50 - Desirable
  • Strong organisational and communication skills
