Role Description

This is a full-time role for a Head of Property Management. The role involves managing property portfolios, leading a team of 8 Property Managers/Building Managers, a small admin team and on site staff including caretakers, cleaners and security, overseeing the block and estate management operations, budgeting, and asset management. Some remote work is acceptable. You will report directly to the Directors.

Key Responsibilities

  • Manage and lead the team ensuring they meet their targets and deliver high-quality service to clients.
  • Oversee the team's operations, including arranging property visits, maintenance coordination, major works projects, and insurance renewals.
  • Monitor and manage the team's financials, including processing and managing payment of invoices from contractors and suppliers, ensuring availability of funds and accurate documentation.
  • Provide guidance and support to Property Managers and provide training when needed.
  • Build and maintain strong relationships with clients, residents, and developers, identifying areas where the team can assist further.
  • Attend and confidently present in team meetings and residents meetings/AGMs/EGMs
  • Ensure the team maintains accurate records of property and maintenance details and instructions.
  • Handle complaints, ensuring fair resolutions are reached while maintaining the highest level of professionalism.
  • Continuously assess and improve team performance, providing feedback and coaching to team members.
  • Conduct monthly one-to-one meetings, weekly catch-ups, and annual appraisals with team members.
  • Resolve any complaints or escalations in a timely and professional manner.

Experience Required

  • Proven experience in managing and leading a team of property managers, with a track record of excellence.
  • Highly trained and experienced in Property Management with MTPI and AssocRICS qualifications
  • Exceptional organisational skills and meticulous attention to detail.
  • Outstanding communication skills and the ability to maintain professionalism and discretion at all times.
  • Proven record of excellent customer service, including during contentious situations.
  • Strong problem-solving skills and the ability to manage complex property-related challenges.
  • Ability to work autonomously while also collaborating effectively within a team.
