Role Duration: 6 Month Fixed Term Contract, possibility of being extended to 12 months

Location: Stoneleigh

We are seeking an Administrator to join our dedicated team. Reporting to the Director of Finance and Operations, this role is crucial in supporting the delivery of our client's charitable objectives. The Operations and Finance Team is at the heart of the organisation, coordinating the administration of conservation projects, building relationships with members, and engaging with the public.

Your responsibilities will include:

  • Manage correspondence including phone calls, emails, letters, and packages.
  • Coordinate internal and external meetings and appointments, overseeing catering when applicable.
  • Maintain calendars, schedules, and reservations.
  • Coordinate staff travel arrangements, including transportation and accommodation, and distribute travel itineraries.
  • Perform data entry tasks, maintain and update membership records, and gather information for mass correspondence.
  • Organise and maintain files and databases.
  • Manage inventory of office supplies, including stationery and multimedia equipment.
  • Welcome members and visitors.
  • Assist in document and presentation preparation using Word, PowerPoint, and Excel.
  • Assist in the administration of marketing and social media tasks.
  • Support senior management with correspondence and enquiry responses.
  • Undertake any other administrative duties as required by the organisation.

Ideally you will have/be:

  • Administrative experience, with a preference for candidates with experience in a membership organisation or the third sector.
  • Excellent communication and interpersonal skills.
  • Strong organisational and time management skills.
  • Excellent attention to detail.
  • Proficiency in Microsoft Office Suite including Word, Excel, and PowerPoint.
  • Ability to manage and prioritise multiple tasks.
  • Professional conduct and discretion with confidential information.
  • Enthusiastic problem-solving skills and willingness to work in a fast-paced environment.

In return, you will receive:

  • 25 days annual leave.
  • The role offers a hybrid working arrangement, with 2 to 3 days a week at the Stoneleigh Office and the flexibility to work from home for the remainder, subject to business needs. Please note that the number of days required in the office may vary depending on workload and time of year. The option to work from home is discretionary and subject to business needs.
