Working Hours: Monday to Friday, 9:00 AM - 5:30 PM

(Permanent, Full-Time)

Our client, a reputable law firm based in Reading, is seeking a professional and friendly Receptionist to join their team on a permanent, full-time basis. This is a front-of-house role working as part of a two-person reception team, responsible for ensuring the reception area operates smoothly and delivers a welcoming and professional first impression to all clients and visitors.

Reception Duties:

  • Work collaboratively with your reception colleague to ensure continuous coverage of the front desk.
  • Maintain a clean, organised, and professional reception area.
  • Welcome and assist clients and visitors in a warm and courteous manner.
  • Answer and direct incoming calls promptly and professionally.
  • Take accurate messages and provide helpful support to clients both in person and over the phone.
  • Schedule appointments for solicitors and paralegals using the firm's central calendar.
  • Sort and distribute incoming post and deliveries.
  • Assist with franking and dispatching outgoing mail (full training provided).

File & Archive Management:

  • Maintain and update the archive log and track file movements.
  • Request, receive, and return files to offsite storage efficiently.
  • Support the Practice Manager with ongoing archiving and file management tasks.
  • Provide ad hoc admin assistance across departments, including file opening and document processing.
  • Carry out routine office tasks such as photocopying, scanning, typing, and filing.
  • Monitor stock levels of office supplies and place orders as needed.

Candidate Requirements

  • Must live within a 30-minute commute of Reading.
  • Previous experience as a receptionist or in an administrative role within a busy office is essential.
  • Proficient in Microsoft Windows-based systems.
  • Confident communicator with excellent verbal, written, and telephone skills.
  • High attention to detail with the ability to prioritise and manage a varied workload.
  • A positive, team-oriented attitude and ability to build rapport at all levels.
