HR Administrator

As the HR Administrator at ESCP Business School, you will play a pivotal role in supporting our HR department's operations. You will be responsible for providing efficient administrative support, maintaining HR records, and ensuring compliance with policies and procedures. Your dedication to delivering exceptional HR services will contribute to the success and growth of our organisation.

Main Duties and Responsibilities:

Staff Administration:

  • Support the HR team with queries, providing assistance to the School's Professional Services and Faculty staff.
  • Administer the full employee lifecycle: processing starters/leavers, Maternity and Paternity leave arrangements, etc.
  • Prepare contracts for Professional Services and Academic staff, including casual workers and visiting lecturers.
  • Manage HR-related documentation, such as contracts of employment and salary change letters.
  • Administer sickness absence and annual leave data in accordance with data protection regulations.
  • Administer staff induction and appraisal processes.

Recruitment / Selection:

  • Support the recruitment process: liaise with agencies, post job adverts, arrange interviews, and issue relevant correspondence (e.g., contracts, reference request letters).

General HR Administration:

  • Maintain an organised and comprehensive filing system for HR records and staffing matters, ensuring compliance with Data Protection regulations and School policies.
  • Draft correspondence.
  • Perform general duties such as filing and photocopying.
  • Support ad hoc HR projects.
  • Undertake other duties as required.

Person Specifications: Skills/Experience Required:

  • Strong administration skills.
  • Excellent IT skills, including proficiency in Excel and Word.
  • Familiarity with HR databases/systems.
  • High level of confidentiality.
  • Excellent interpersonal and customer-facing skills.
  • Strong communication skills, both written and verbal.
  • Flexibility and willingness to learn.
  • Enjoy working with people.
  • Ability to work accurately and with attention to detail.
  • Understanding of work prioritisation.
