We are looking for a proactive HR Assistant to join our client and provide high-quality administrative support. This role is the first point of contact for a range of customer queries and is essential in handling HR processes for selected business units. Day to Day of the role:

  • Manage the HR Team's group inboxes, responding to queries and flagging issues to relevant parties.
  • Resolve queries effectively without the need for escalation.
  • Take ownership of day-to-day HR administration for assigned business units.
  • Act as a confident and proactive first point of contact for employees and external partners.
  • Draft contract variation letters and track the documentation process.
  • Maintain the HR system, ensuring employee details are accurate and up-to-date.
  • Review and improve administrative processes for efficiency.
  • Handle the starter and leaver processes, including scheduling meetings and updating HR systems.
  • Complete reference requests and acknowledge employee resignations using standard templates.
  • Produce periodic and ad-hoc reports as required.
  • Provide general administrative assistance, including managing records and scheduling.
  • Support the training of new team members and undertake ad-hoc projects as directed.

Required Skills & Qualifications:

  • A-Level education or equivalent experience.
  • Strong experience as a first point of contact for a busy team.
  • Experience in handling high volumes of email and telephone communication.
  • Proven administrative support experience in a high-volume environment.
  • Ability to work with multiple partners and manage multiple deadlines.
  • Experience in diary coordination, preferably via MS Outlook.
  • Data entry and record maintenance experience for audit purposes.
  • Experience in a confidential environment and a change/process-led environment.

Desirable:

  • HR environment experience and familiarity with starter/leaver processes.
  • Exceptional administration and self-organisation skills.
  • Active listening skills and strong attention to detail.
  • Excellent interpersonal skills, including tact and discretion.
  • Proficiency in IT applications including MS Office, Outlook, and HRIS (Workday).
