Front of House Manager

Universal Square is a busy multi-tenant commercial building near Manchester Piccadilly Station. We are looking for a well organised and experienced front of house manager. This is a key role in the smooth running of the reception and all other teams that look after the building and the facilities that the tenants use. The main reception of the building means this is the focus for all tenants and visitors so being highly organised and the ability to create processes and systems to enable this are desirable skills. As well as your direct reports you will act as a conduit of information to other teams and back to the originator of the enquiry so excellent communication skills will help you succeed in the role. An understanding & awareness of health and safety and contractor management would be an advantage but not essential, but a willingness to learn & develop are a must because as the nature of the tenants change so must we to meet their needs.

  • Reception experience within a busy multi-tenant building is advantageous
  • High standard of professional appearance necessary
  • Experience of handling volume incoming calls daily
  • Ability to utilise tact, discretion and diplomacy and maintain confidentiality at all times
  • Eagerness, efficiency and willingness to learn and go the extra mile when required
  • Able to use own initiative
  • Ability to deal with contractors & suppliers
  • Have excellent time keeping
  • Excellent IT skills
  • Experience of leading a front of house team with a desire to progress within the business
  • As a perfectionist with high expectations and standards, you will deliver practical results, with a bias to action and extraordinary attention to detail
  • As an owner of our front of house experience, you'll be an inspirational figure, able to influence your wider team to deliver exceptional service at all times
  • You will be highly responsive to customer requests/service issues and will use your initiative to meet deadlines and make sound decisions

The Role

  • Answering all incoming calls efficiently and transferring to the relevant person
  • To be a lead in the day to day running of the buildings main reception
  • Giving directions to tenants visitors
  • Dealing with all incoming enquiries from clients
  • Managing and maintaining the various booking systems visitor parking & meeting room and diaries
  • Filing of contractors work sheets & certification
  • Sending communications to building tenants to advise on such things as works being carried out , service impacting issues
  • Ensuring that the agreed staffing levels on the reception are maintained
  • Raising purchase orders for the team
  • Provide a pivotal role in our day to day operations throughout your area
  • Helping coordinate teams who deliver our front of house experience in our buildings, implementing new processes and procedures that enhance our service
  • Develop a one team approach within our buildings to ensure we have a consistent and collaborative approach to getting things done
  • Support the onboarding of new customers in our Service Space buildings
  • You must be relentless on standards and take full accountability on a daily basis in your area
  • Be confident and capable to step in to support our Building Managers to ensure an excellent standard of service is provided at all times.
