Role Overview

We are looking for a highly organized and proactive Office Administrator to manage daily administrative and HR-related tasks. This role is essential for keeping operations smooth and efficient, supporting the team in various business functions.

Key Responsibilities

Administrative & Operations

  • Oversee day-to-day office operations.
  • Manage office supplies, correspondence, and documentation.
  • Schedule meetings, appointments, and coordinate travel arrangements.
  • Liaise with agents, contractors, and service providers as needed.

HR & Finance Support

  • Process invoices and manage bill payments.
  • Track and tally rent collections, ensuring timely payments.
  • Coordinate with teams for expense tracking and reporting.

Property & Tenant Management

  • Handle tenant communications and assist in resolving queries.
  • Ensure compliance with lease agreements and payment deadlines.
  • Support property maintenance coordination by liaising with contractors.

Requirements

  • Previous experience in office administration, HR, or finance-related roles is a plus.
  • Ability to manage multiple tasks, maintain records, and ensure smooth office operations.
  • Ability to prioritise tasks effectively to meet deadlines and support various teams.
  • Strong verbal and written communication for interacting with tenants, contractors, agents, and internal teams.
  • Quickly identifying and resolving issues related to rent collection, maintenance, and office operations.
  • Ensuring accuracy in financial records, contracts, and documentation.
  • Basic bookkeeping, processing invoices, managing rent collection, and coordinating bill payments.
  • Handling tenant inquiries, resolving concerns, and ensuring a professional experience.
  • Proficiency in Microsoft Office (Excel, Word, Outlook) and office management software.
