Are you an experienced executive assistant or administrative professional looking for a new challenge within the property sector? If so, we're looking for someone to support our Investment and Property Management team based at our head office in Cambridge.

Bidwells is a leading property adviser with deep roots in some of the fastest growing markets in the country. The Investment & Property Management team undertakes the management of various commercial properties for a range of clients including Cambridge Colleges, Institutions, Property Companies and Family trusts.

The role will be largely devoted to the administrative and operational support of the one of the most significant investment clients of Bidwells, Trinity College Cambridge. Bidwells has been the trusted property advisor to Trinity College for c.100 years. We are looking for someone who will support and strengthen this longstanding relationship and who is enthusiastic about being part of a small investment team focused on driving investment outcomes through efficient process management.

Bidwells' Investment & Property Management team is undergoing a period of rapid growth, and the role will also involve collaborative administrative support of the broader team. We seek someone who excels in a fast-paced environment, takes pride in their administrative skills, and remains organised, team-oriented, effective at time management and who is enthusiastic to learn and take on new challenges.

Trinity College's charitable purpose is largely funded through the returns generated by the endowment portfolio. The successful candidate will be motivated by the opportunity to add value to the College as well as Bidwells; especially through the delivery of efficient and effective administrative support in a fast-paced and active investment management team.

What you'll be doing:

  • Reviewing recommendations to clients and summarising into template reports in preparation for Board papers for clients.
  • Overseeing e-mails on behalf of Trinity College lead Partners.
  • Management of reminders and carry forwards for deadlines and key dates.
  • Collating data and preparation of KPI reports.
  • Assisting in the production of service charge budget and reconciliation packs for issue to tenants.
  • Checking Building Project Trackers and processing invoices.
  • Diary management, arranging/co-ordinating meetings and appointments.
  • Logging monthly meter readings, updating spreadsheets for Smartest Energy and supporting with any changes of tenancy.
  • Co-ordinating various portfolio projects for the team including insurance renewals, fee preparation, expenditure reports, data collation for energy and decarbonisation projects and data management.
  • Assisting with updating and generating reports whilst auditing various IT systems.
  • Setting up and authorising Jobs or Purchase Orders.
  • Coding and approving of invoices.
  • Supporting with travel arrangements including room and hotel bookings.

About You:

  • Excellent IT skills with knowledge of using Microsoft packages including Excel, Word, Outlook, PowerPoint, OneNote & PDF editor.
  • A quick learner, with the ability to prioritise and deal with a varied workload.
  • Excellent verbal and written communication skills with the ability to build relationships quickly.
  • A self-starter with the ability to work on own initiative and a can-do approach.
  • Enjoys a fast-paced, teamwork environment.
  • Proven experience within a similar administrative position.
