About the role

The Facilities Administrator will play a crucial role in overseeing the smooth operation and maintenance of our clients facilities. This role requires a unique blend of administrative skills and financial acumen to manage budgets, track expenditures, and ensure cost-effective solutions. The ideal candidate will be a detail-oriented professional with a strong background in finance, excellent organisational abilities, and a proactive approach to problem-solving.

Responsibilities

  • Maintain and inspect all office facilities daily, ensuring good repair and regular maintenance.
  • Address and escalate office-related health and safety issues.
  • Manage and ensure a steady supply of stationery and consumables.
  • Test fire alarms and emergency lighting, recording results and reporting defects to the Facilities Manager.
  • Support and manage site events, coordinating with various stakeholders and ensuring all necessary items are prepared.
  • Help manage essential services (maintenance, cleaning, catering, waste disposal, recycling), acting as first-line support and escalating as needed.
  • Oversee financial processes, ensuring customer invoicing, credit control, and utility payments are accurate and timely.
  • Track site expenditures and manage budget oversight.
  • Raise requisitions for Purchase Orders in line with company processes.
  • Manage supplier procurement and receipting.
  • Coordinate payroll timesheet inputs for all staff on site.
  • Update safety boards and insurance certificates.
  • Conduct fire alarm and emergency exit light checks.
  • Ensure fire extinguishers are serviced per safety regulations.
