Export Coordinator - Shipping

Birmingham – Remote

Salary: £30,000 - £35,000

Hours: 40 hours per week, 8am – 5pm or 9am – 6pm, Monday – Friday

Hybrid: 1 day a week in the office – Would consider fully remote working

Our client, a global leader in packaging and resource recovery is currently seeking an Export Coordinator to work in their shipping team.

The Export Coordinator is responsible for supporting the Shipping & Operations Manager of the UK Trading business in operational functions; ensuring that all targets are delivered, and reporting is focused, accurate and timely.

The role is responsible for the efficient administration and operational matters of the sales process and operational environment, and to be the central point of contact for suppliers, customers, shipping lines, freight forwarders, surveyors and internal stakeholders relating to the import and export of our products.

Duties:

  • Ensure timely and accurate response to customer's request, and liaise with internal and external stakeholders for smooth coordination for all transactions

  • Create, control, and manage shipments as planned, including support negotiation process and execution of best freight option

  • Track and manage additional shipping costs (such as wasted journeys / demurrage), work with the trading team and finance to recover external liabilities

  • Ensure timely and accurate response to stakeholder's request, and liaise with internal and external stakeholders for smooth coordination for all transactions

  • Ensure timely resolution of issues arising from suppliers, customers, financial institutions, operation and commercial

  • Build and manage relationships with internal and external stakeholders such as customers, suppliers, shipping lines, freight forwarders and the internal administration team

  • Coordination of administrative functions including (but not limited to):

  • Creation of shipments / orders / purchase orders as required

  • Shipment bookings / confirmation

  • Weighbridge information data entry

  • Upload and review loading documentation and photographs to ensure compliance with terms and condition of purchase

  • Process vendor invoice payments

  • VGM processing

  • Prepare shipping / bank documentation

  • Material inspection procedure (e.g. lodge inspection request, request / approve draft certificates and upload original certificates) as required

  • Ensure compliance with customer requirements (e.g. special requests, inspections, packing specification)

  • Apply for necessary export permit as regulated by government authority

  • Compliance

  • Ensure that all company policies and procedures are complied with

  • Process Improvements

  • Develop a culture for process improvements

  • Active participation and identification of opportunity within area of responsibility across the supply chain

  • Active involvement in the implementation of process improvements

You will liaise with internal departments; Singapore Documentation Team, Operational Excellence, Finance, Administration, Production, Logistics, Warehouse

Experience required:

Essential:

  • Minimum 3 years of relevant experience in a similar role in the shipping industry; particularly in freight forwarding
  • Competent in spoken and written English language

Desirable:

  • Experience in Wastepaper and Plastic Recycling industry
  • Competent in the use of MS Office Suite
  • Competent in the use of SAP
