Annual Salary/Hourly Rate/Day Rate: £12.01 per hour

Hours of Work: Full Time, 40 hrs/week

The Role:

The logistics office administrator is responsible for supporting the logistics team with administration duties relating to the delivery and collection of hire and sale orders, along with supporting our internal and external drivers with administration and communication, whilst ensuring they meet the required standards.

Key Responsibilities:

Operational Duties:

  • Produce relevant delivery/collection paperwork for drivers and yard teams, and input delivery and collection confirmations into the system.
  • Book external hauliers, raise internal requisitions, purchase orders, goods receipting orders, and send paperwork to external suppliers and internal departments as required.
  • Provide feedback on the quality of completed paperwork from drivers to the logistics supervisor.
  • Create invoices to customers for applicable delivery and collections charges.
  • Liaise with the sales team regarding unallocated deliveries or collections and manage scheduling changes.
  • Ensure miscellaneous transport requests are logged on the depot schedule for routing and tracking, including IT requests, safety ad hoc requests, and fabrication delivery and collections.
  • Liaise with customers to book drivers into sites and confirm lifting capabilities when required.
  • Maintain the average awaiting collection days to the agreed SLA or below.
  • Utilize the daily courier service when necessary.
  • Follow up on all courier deliveries to ensure they are completed within the requested date and time.

Health and Safety:

  • Complete tasks in accordance with the depot risk assessments and notify the Team Leader of any potential noncompliance.
  • Report accidents and near misses using the correct methods.
  • Ensure the correct PPE is used in the depot at all times.
  • Maintain excellent levels of housekeeping in the office, ensuring areas are free from waste and trip hazards.
  • Support the Logistics Supervisor and Fleet Manager to ensure drivers and vehicles operate within the standards set out in FORS with administration.

Quality:

  • Ensure works are carried out in accordance with processes.
  • Contribute to continuous improvement by providing suggestions and feedback to Team Leaders and Management.
  • Work to agreed timescales, updating the Team Leader on progress.
  • Maintain good communication with Team Leaders and Management at all times.

Key Measures & Targets:

  • Average await collect days.
  • Quantity of equipment awaiting collection.
  • External haulage cost recovery.
  • Overdue on hire and off hire confirmations.
  • Outstanding purchase orders.
  • Accuracy of computer inputting.

Person Specification:

The successful candidate is likely to meet all of the following criteria:

Essential:

  • Previous experience working in an office-based administration role.
  • Ability to plan and schedule work efficiently.
  • Computer literate with good knowledge and understanding of Excel, Word, and Outlook.
  • Polite, calm, and professional manner with excellent customer service skills.
  • Ability to listen and learn.

Desirable:

  • Product knowledge of specialist hire equipment, fabrications materials, and structures.
  • Previous Transport Compliance experience.
