We are looking for an Executive Assistant for a highly regarded international organisation. The company has circa 900 employees globally, is VC backed and growing through acquisition. The role
The position will support the CEO, Chief People Officer, CFO and M&A Director.
Key responsibilities will include:
- Coordinating and maintaining the diaries of the Executive Team, organising appointments, meetings, travel and VISAs
- Setting up and managing conference calls, video calls and online meetings
- Planning and organising meetings and events including room/venue bookings, agendas, and drafting minutes
- Attending meetings/events to ensure they run smoothly
- Identifying, anticipating and preparing information requirement s for the Executive Team for meetings, appointments and presentations
- Producing briefing papers, data, reports and presentations to support timely and production of professional documents
- Monitoring, responding to and redirecting enquiries, phone calls and requests to minimise interruptions and ensure prompt resolution
- Handling confidential information with discretion and professionalism
- Devising and maintaining office systems including data management and filing, and dealing with emails and post as appropriate
- Providing administrative support for the preparation of Board and Committee Meetings, including distributing agendas, taking minutes and following up on action items
- Greeting oversea visitors
- Maintaining office supplies and equipment, ensuring functionality and availability
- Liaising with IT teams to address IT issues
- Implementing and maintaining efficient office systems and procedures
- Organising and coordinating company events, conferences and off-site meetings
The person
- Proven experience as an Executive Assistant or in a similar administrative role
- Experience of organising global travel
- Experience in managing multiple priorities and tasks in a fast-paced environment
- Proficient in Office Suite (Excel, Word, PowerPoint and Outlook)
- Excellent organisational and time management skills
- High levels of discretion and confidentiality
- Ability to work independently and as part of a team
Salary: £30,000 - £40,000 depending on experience, plus 25 days holiday and 2 flexi days, pension (5% employer, 3% employee), car parking and hours are 37.5 per week, typically 8am - 4.30pm or 8.30am - 5pm.
Location: Portishead, hybrid working (3 days in the office, 2 days from home).
