Payroll and Pension Coordinator

Job Advert: Full-Time Payroll and Pension Coordinator

PURPOSE OF JOB:

  • Support and, when required, deputize for the Head of Payroll and Pensions to ensure the accurate and timely processing of payroll for the entire College Group.
  • Oversee the efficient administration of pensions for the college and its third-party pension providers.

JOB DESCRIPTION:

General Responsibilities:

  1. Participate in College-wide projects and tasks.
  2. Assist in other support service areas during workload peaks.
  3. Perform other duties of a similar nature as required, which may involve working at different College campuses.

Specific Responsibilities:

  1. Maintain, operate, and develop the College's computerized payroll system.
  2. Accurately and promptly process authorized payment details and update master files for appointments, resignations, changes in conditions of service, promotions, and upgrades, including Income Tax, National Insurance, Pension, and other deductions, in close coordination with the managed payroll team.
  3. Ensure payroll compliance with all relevant legislation and requirements from the Inland Revenue, Department of Social Security, NEST, Teachers' Pensions Agency, and the Local Government Pension Scheme, as well as the College's financial policies and procedures.
  4. Process taxable and non-taxable expenses through the payroll system, including car mileage, payments to hourly paid and casual staff, overtime claims, and staff expenses, ensuring appropriate authorization.
  5. Implement correct cost center costings and split costings.
  6. Ensure timely payment to all staff, promptly and accurately correcting any errors.
  7. Support staff in accessing the Employer Self-Service portal for payslips and end-of-year P60s.
  8. Handle the monthly submission of employee details to the Office of National Statistics.
  9. Collaborate with the Human Resources Department and support the Head of Payroll and Pensions to develop and maintain systems ensuring the integrity and completeness of payroll data. Alert the Head of Payroll and Pensions if the payroll system's integrity is at risk.
