We are seeking a Fleet Administrator to ensure the efficient and effective administration of the Constabulary's fleet and the Fleet Management Tranman system. The role requires a professional, customer-focused individual who can maintain comprehensive records and maximise vehicle availability.

Day to Day of the Role:

  • Administer the Fleet Management System, ensuring accurate records for all Constabulary vehicles.
  • Attend and contribute to daily briefings.
  • Run fleet service scheduling as per agreed procedures, ensuring timely servicing of vehicles.
  • Plan and produce servicing schedules, considering operational priorities to maximise vehicle availability.
  • Ensure all vehicles are serviced in line with manufacturers' recommendations and Police maintenance/service specifications.
  • Coordinate the movement of vehicles within the Constabulary by liaising with Fleet Recovery Drivers and customers.
  • Manage vehicle registrations, tax, and insurance in compliance with legislation.
  • Handle vehicle disposals, commissioning, fuel cards, and other associated fleet requirements.
  • Assist with the management of daily defect reporting through the Force Fleet Management systems and the fleet services mailbox.
  • Provide updates to customers, including timescales for service, repair, warranty, and external work.
  • Communicate effectively with managers and colleagues, highlighting priorities and issues.
  • Support the Fleet Administration Supervisor and represent the department at meetings/seminars as required.
  • Work with customers and colleagues to ensure effective communication and management of expectations.

Required Skills & Qualifications:

  • Proven administrative experience, within fleet management would be advantageous.
  • Strong organisational and planning skills.
  • Excellent communication and customer service skills.
  • Ability to work effectively both independently and as part of a team.
  • Competency in using fleet management systems and Microsoft Office Suite.
