We are looking for a dedicated Facilities Team Administrator to provide exceptional administrative support to our Estates department. The successful candidate will play a crucial role in delivering outstanding service across the Group Estate, ensuring stakeholder satisfaction and consistent performance.

Day-to-day of the role:

  • Provide comprehensive administrative support for all operations within the Estates department as directed.
  • Operate as a service desk administrator, receiving service requests via phone, email, or computerised system, and accurately inputting this information into the relevant database.
  • Relay service requests to the in-house team or external contractors and manage responses from inception to completion within our KPIs.
  • Maintain close communication with Estates Team members across all sites and with external suppliers to ensure effective, efficient, and high-quality services.
  • Keep customers informed about the progress of their service requests and take remedial action to resolve problems as necessary.
  • Assist in maintaining and accurately updating various departmental databases.
  • Help manage the department's electronic diary, noting room layouts & times, meeting details, examinations, and special events, and advising Estates staff of special room and parking requirements.
  • Raise Purchase Orders, receive goods, and validate invoices for the department.

Required Skills & Qualifications:

  • Proven administrative experience, preferably within a facilities or estates environment.
  • Preferred college/uni/school environment
  • Strong organisational skills and the ability to manage multiple tasks efficiently.
  • Excellent communication skills, both written and verbal.
  • Competency in using database systems and Microsoft Office Suite.
  • Ability to work effectively both independently and as part of a team.
  • Experience in handling service requests and liaising with internal and external stakeholders.
  • Familiarity with raising Purchase Orders and invoice processing.
