Gleesons has Partnered with a Large Rail Business in the search for a Procurement Assistant, This role would allow the professional to grow and further enhance there skills.

Position: Procurement Assistant

Duties:

  • Oversee and maintain the Oracle Procurement System.
  • Supervise and manage the setup of new suppliers, ensuring their use is justified and appropriate according to established processes.
  • Manage the indexation process by compiling and maintaining a tracker to assist Buyers in managing their scopes of work.
  • Oversee the Purchase Order (PO) system, acting as a gatekeeper to ensure timely review of new requisitions/POs, verifying all necessary details are included.
  • Address any inconsistencies or missing data with the author, ensuring proper contractual documentation is in place and correctly executed.
  • Assess and advise on the correct order method for requisitions/POs, recommending BPA where necessary.
  • Verify that procurement activities fall within the supplier's scope of accreditation.
  • Manage BPA creation and liaise with Legal
  • Contract completion actions are implemented
  • CIS post-execution sign-offs
  • Contract header setup
  • BPA creation, coordinating with Logistics for accurate resource code allocation
  • Updating BPAs with contract variations.
  • Manage the DMS Operations Library for the procurement contract section
  • Assigning contract numbers
  • Selecting the correct work space structure (contract/project/tender/etc.)
  • Collaborating with IT to establish work spaces in the DMS list.
  • Provide procurement administration support to the team, including:
  • Coordinating procurement events such as Supplier Day, Innovation Hub, and Procurement Team Events,
  • Supporting the Head of Procurement and the team by taking meeting minutes when required,
  • Providing procurement reporting to the broader business, completing monthly KPI reporting packs, and ensuring the wider team maintains trackers for up-to-date reporting.

Ideal Candidate:

  • Knowledge of Oracle
  • Procurement in Transport - Rail
  • Experience in Procurement
