Site Administrator

Are you an experienced and versatile administrator? If so, join our care home, Spring House in Exeter as a Site Administrator working 37.5 hours a week and be part of an environment that has a strong emphasis on teamwork.

As Site Administrator, you will be central to supporting those providing high quality care within Spring House. Spring House consists of 6 individual flats in the home and is situated in Exeter near the city centre. The home provides care for men and women with learning disabilities and autism in a homely environment. You will be responsible for carrying out all administrative tasks within the care home, including minuting and planning site meetings, handling the finance systems, maintaining and updating staff HR records, as well as supporting the senior management team to effectively carry out their roles.

Your responsibilities will include:

  • Organisation and appropriate recording of all site meetings.
  • Ensuring compliance with all HR policies & procedures liaising with Operational HR and Head Office staff on the delivery of HR practices and processes.
  • Maintaining and creating personnel files including filing information to CQC standards
  • Supporting the Senior Management team in the administration of HR issues, requests for information, and note taking.
  • Monitoring and checking staff professional registrations on a monthly basis.
  • Processing monthly DBS renewals and right to work checks for existing staff.
  • Processing any changes within the payroll / HR system.
  • Liaising with Central Recruitment regarding offers of employment and progression of candidates.
  • Managing systems for service user monies and petty cash.
  • Reconciling the site company credit card.
  • Purchase Order Processing - Ordering of Goods and Services and dealing with any queries from suppliers.
  • Ensuring that all associated documentation is correctly maintained and filed in the correct way.
  • Ordering of stationery and maintaining of stock at site.
  • Updating the Elysium Learning Management System (MEL) as required.
  • Supporting the induction and refresher training programmes; liaising with the training hub to book new starters onto induction programmes and existing staff on to refresher courses.
  • Contributing to the implementation of improvement measures to enhance training compliance.
  • Printing nursing paperwork and ensure the nursing team always have what is required.
  • Supporting the nursing team to update information in the site diary, nursing office and communal areas.
  • Answering telephone calls to screen queries and pass to the appropriate staff member where necessary.

To be successful in this role, you'll need:

  • At least 2 years secretarial and/or administration experience in a healthcare setting.
  • ECDL, RSA II, Typing/Word Processing or equivalent.
  • 4 GCSEs at grade C or above (including English and Mathematics) or equivalent.
  • Experience of minute taking and expert in MS Word, Excel, PowerPoint, and Outlook.
  • Knowledge of working with HR and Finance systems.
  • Experience with handling money.
