Office Administrator (Property Management)

We are a property management company focusing on Guaranteed Rent in London, been around since 2008.

We are seeking a detail-oriented and proactive Administrative Assistant to join our team. The ideal candidate will handle a variety of tasks related to property management, tenant and landlord communications, and daily account management. Key responsibilities include:

General Administrative Duties:

  • Renew and prepare tenancy agreements, negotiate rents, and update our CRM system.
  • Handle email and telephone inquiries from landlords and tenants.
  • Prepare, send, and manage tenancy agreements and legal notices.

New Property Management:

  • Complete new property check-lists and archive old files.
  • Communicate with landlords for property details and updates.
  • Update property information on various platforms.
  • Enrol properties in management systems and renew certifications.
  • Manage landlord contact details.

Basic accounts

  • Process and receipt rents
  • Manage contractor payments and mark invoices as paid.
  • Adjust council invoices for new properties or cancellations.
  • Reconcile invoices and handle any discrepancies.

Personal Requirements:

  • Meticulous attention to detail
  • Confident in dealing with clients
  • Computer literate with basic knowledge of MS Office (Word, Excel, Outlook)
  • Able to multi-task and prioritise workload
  • Resilient and a problem solver
  • Positive with empathy
  • Strong organisational skills
