Financial Planning Administrator

Job Summary:

The Financial Planning Administrator provides administrative support to the financial planning team, helping ensure efficient management of client portfolios and smooth day-to-day operations. This role involves working closely with Financial Advisors to handle client requests, maintain accurate records, and contribute to delivering high-quality client service.

**Key Responsibilities

:

  • Prepare and maintain client files, ensuring all information is up-to-date and accurately stored.
  • Coordinate meeting schedules and manage calendars for Financial Planners.
  • Prepare documentation for client meetings, including financial summaries and reports.
  • Serve as the first point of contact for client inquiries, providing exceptional customer service.
  • Respond to client requests via phone or email, including account changes, information requests, and administrative updates.
  • Assist clients with completing necessary paperwork and ensure compliance standards are met.
  • Input and update client information into CRM systems and financial planning software.
  • Manage and track applications, policy documents, and other client records.
  • Compile, validate, and file client documentation in accordance with regulatory standards.
  • Assist in the preparation of financial plans and review reports by gathering necessary data and documentation.
  • Liaise with product providers, such as investment companies and insurance firms, to obtain policy details and update records.
  • Ensure all client records and interactions are compliant with industry regulations.
  • Keep informed on current financial services regulations and company policies to assist with adherence.
  • Handle incoming and outgoing mail, maintain office supplies, and support other administrative tasks as needed.
  • Assist in organizing internal meetings and training sessions for the financial planning team.

This is a remote role, with the opportunity to visit the offices in Southampton and London on an ad-hoc basis.
