Assistant Centre Manager

We are pleased to announce that a new opportunity has arisen for an Assistant Centre Manager to join our new business and innovation centre in Bolton, The Wellsprings. Located in the heart of Bolton, as part of our growing Greater Manchester cluster, The Wellsprings will be a contemporary environment with a mix of both flexible and conventional office space and coworking, and is specifically designed to meet the needs of the modern business and entrepreneur. We will provide a great space for our customers, fledgling and small businesses, who will be supported in their growth plans in a centrally located, flexible and inspirational environment. This is an exciting opportunity to join us in a varied and involving role with lots of support available.

Role Overview:

  • Full-time position key to mobilising the new centre.
  • Enhance sales, community engagement, operational, and financial performance.
  • Report to the Centre Manager, delivering top service to the centre community.

Major Objectives:

  • Profile and Reputation: Support marketing and sales to enhance the centre's reputation.
  • Operational Excellence: Deliver top service, support, and staff training.
  • Customer Service Excellence: Ensure exceptional customer service and commercial performance.
  • Deputy Responsibility: Oversee operations in the Centre Manager's absence.

Main duties and responsibilities:

Operational

  • Assist with setting, monitoring, and developing building presentation standards, including cleanliness, health and safety, and security.
  • Ensure compliance with statutory and mandatory obligations under the Health and Safety at Work Act.
  • Maintain and deliver the Planned Preventative Maintenance (PPM) schedule.
  • Manage procurement and contractors, suppliers, and consumables.
  • Implement standard operating procedures and monitor criteria with the centre team.
  • Maintain the Centre Asset register and Contract Database.
  • Oversee maintenance and manage assets, stock, and inventory.
  • Assist in setting up and maintaining in-house IT systems.
  • Ensure compliance with GDPR and Money Laundering Regulations.
  • Maintain records to comply with ISO9001:2015 & ISO14001.
  • Promote a culture of quality service and customer care through feedback and regular tenant surveys.
  • Ensure an appropriate competent employee is always on duty in the Centre Manager's absence.
  • Attend training courses and meetings as required.
  • Undertake additional tasks as proposed by the Centre Manager.

Financial

  • Support the Centre Manager with financial management, including invoicing customers and debt management.
  • Assist in budget planning and monitoring expenditure and costs.
  • Assist in financial reporting and understanding Profit and Loss.
  • Raise purchase orders and reconcile invoices for audit compliance.

Team Development

  • Assist with team management, including reception staff and temporary cover.
  • Assist in recruiting and coaching the centre management team to ensure high customer service levels.

Sales and Marketing

  • Support the Centre Manager in promoting available space on pre-agreed commercial terms.
  • Assist in generating revenue from various centre products.
  • Identify additional revenue opportunities.
  • Promote OI Space's range of services to partners and clients.
  • Develop a community of entrepreneurs within the centres.
  • Maintain awareness of centre clients' business performance and problems, providing support as needed.
  • Assist in preparing for conferences, events, meetings, and catering.
  • Ensure the centre is fully exposed to the market to maximize revenue opportunities.
  • Assist in preparing marketing material and initiatives.

Experience:

  • Experience in operational management of similar assets.
  • Management skills to lead a team and ensure high performance.
  • Negotiation skills and customer service focus.
  • Attention to detail, organisational skills, and IT literacy.
