Property Manager

Main tasks:
Arranging Maintenance Repairs
- Communicating with tenants and getting a clear understanding of the maintenance issues
- Contacting the landlords and notifying them of the maintenance issues
- Instructing contractors to attend to the property at a suitable time
- Ensuring tenants are kept up to date
- Sending maintenance repair quotes to the Landlord and receiving instruction to proceed
- Instructing contractor to repair maintenance issues
- Ensure maintenance issue has been repaired within a suitable amount of time dependant on the urgency of the issue.
Ensuring Rent Statements are up to date
- Updating invoices on CRM systems
- Receipting rents against tenants accounts
- Contacting tenants regarding any outstanding amounts on their account
- Sending the correct letters/notices where required
- Updating the landlord at all times
Preparing agreements for tenants
- Contacting both tenant and landlord before renewal date
- Negotiating new terms between both landlord and tenant
- Preparing legal agreements
- Arranging for legal agreements to be signed
Arranging inspections
- Instructing inspection clerk to attend property at a suitable time
- Reviewing inspection
- Ensuring property is well maintained
- Action maintenance issues reported
- Ensuring tenants and landlords are following their obligations
Ensuring property has the required safety certificates
- Creating works orders for safety certificates which are due to expire
- Contacting the landlord to achieve instruction
- Instructing contractor to obtain a new certificate before expiry date
- Checking the certificate to ensure it has passed and is valid
Deposit Deductions
- Instructing inspection clerk to carry out check out report
- Organising the return of keys from outgoing tenants
- Reviewing the check out report and establishing any deductions that need to be made
from the deposit for dilapidations
- Obtaining quotes/invoices for the dilapidations
- Sending the dilapidation list to the landlord for acceptance
- Sending the dilapidations list to the tenants for acceptance
- Negotiating on deduction amount if required
- Releasing the agreed deposit amount
- Putting the deposit into dispute if required
