Executive Assistant to CEO

  • Salary: £39,000-£47,000 per annum

We are seeking a highly organised and proactive Executive Assistant to provide comprehensive support to our CEO, Deputy CEO, and Trustees. The successful candidate will play a crucial role in the smooth operational running of our organisation by managing diaries, coordinating travel arrangements, and ensuring effective communication across all levels.

Day to Day of the Role:

  • Manage and coordinate the CEO's workload, activities, and diary, ensuring priorities are managed and there are no clashes.
  • Organise travel and accommodation for the CEO, Deputy CEO, and Trustees within budget and time constraints.
  • Provide administrative support to the CEO, Deputy CEO, and Trustees, preparing materials for meetings and ensuring follow-ups.
  • Handle correspondence and enquiries to the CEO's office, disseminating information and drafting responses in a timely manner.
  • Process expenses for the CEO, Deputy CEO, and Trustees in line with financial guidelines.
  • Take minutes at meetings, including those with Trustees, and maintain accurate records.
  • Support Department Directors with diary management, prioritising the CEO's needs.

Required Skills & Qualifications:

  • Proven experience in an executive assistant or similar role.
  • Exceptional organisational and diary management skills.
  • Strategic understanding of competing priorities and workload management.
  • Experience organising travel and accommodation arrangements.
  • Strong communication skills and the ability to handle confidential information.
  • Proficiency in office management systems and procedures.
  • Attention to detail and problem-solving skills.
  • Ability to work independently and as part of a team.
