We are seeking a proactive and detail-oriented Office Manager to oversee and coordinate administrative duties and office procedures at our London branch. The ideal candidate will create a productive and pleasant work environment, support the Branch Manager with various administrative tasks, and enhance our daily operations.

Key Responsibilities:

  • Vendor and Service Management: Oversee relationships with vendors and service suppliers to ensure quality and cost-effectiveness of goods and services.
  • IT Coordination: Liaise with the IT department in Spain to manage office software and hardware issues, ensuring smooth communication between branch employees and IT teams.
  • Safety and Security: Manage and coordinate office safety, anti-fire measures, and building security policies.
  • Office Organisation: Organise office layout, order stationery and equipment, and maintain office conditions by arranging necessary repairs.
  • Regulatory Compliance: Update local office health regulations and ensure compliance with International Banking rules.
  • Event Support: Assist in organising events for customers and partners (both internal and external).
  • Administrative Duties: Perform various administrative tasks including scheduling meetings, greeting visitors, handling phone/mail coverage, drafting correspondence, and managing documentation.
  • General Support: Provide general administrative support to the Branch Manager.

Profile

Requirements:

  • Experience: Proven experience as an Office Manager, Front Office Manager, or Administrative Assistant.
  • Knowledge: Familiarity with office administration responsibilities, systems, and procedures.
  • Skills: Proficiency in MS Office (Excel, PowerPoint, Outlook). Hands-on experience with IT-related issues and vendors is a plus.
  • Competencies: Excellent time management, multitasking, attention to detail, problem-solving skills, and a creative mindset.
  • Communication: Fluency in English with strong written and verbal communication skills - Spanish is a plus but not required!
  • Attributes: Ability to work independently and collaboratively, adaptability to different cultures and environments, and enthusiasm for international expansion projects.
