We are looking for an Office Manager to join a firm of specialist independent Chartered Surveyors based in a picturesque rural setting in Marlow. This is a temporary position starting on the 7th of July, serving as an interim role while we find a permanent candidate for this position. Day-to-day Responsibilities:
- Office Administration: Efficiently manage all office administrative tasks and oversee daily operations to ensure smooth functioning.
- Diary Management: Organise and schedule meetings and appointments for the directors.
- Client Database Maintenance: Keep the client database updated and accurate, ensuring all client information is readily accessible.
- Email Management: Monitor and manage emails for oneself and the directors, acting as the first point of contact.
- Communication Handling: Serve as the initial contact for incoming calls, adeptly addressing client enquiries or collecting detailed information for directors.
- Project Coordination: Utilise Word and Excel to manage and track projects effectively.
- Financial Documentation: Handle Excel spreadsheets for tracking financial transactions like receipts and disbursements and assist in preparing invoicing explanations for VAT returns.
- Call Log Management: Oversee BT call logs to allocate client interaction times accurately for timesheets.
Required Skills & Qualifications:
- Previous experience in office management or a similar role.
- Excellent organisational skills with the ability to manage multiple tasks efficiently.
- Strong attention to detail, crucial for adhering to deadlines.
- Good communication skills and the ability to act as the first point of contact.
- Proficient in Microsoft Office, especially Word and Excel.
- Knowledge or experience in planning applications would be beneficial but not essential.
