Job Title: Executive Assistant / Virtual Assistant (VA)

Location: Remote or Hybrid (South West England)

Hours: Full-time, UK working hours (and occasionally US hours)

Our customer is a pioneering training centre at the forefront of sea and space exploration, committed to providing cutting-edge education, development, and support in these exciting sectors. As we continue to expand, we are seeking a proactive, highly organised Executive Assistant or Virtual Assistant (VA) to support our Director, who works across both the UK and US markets. This is a unique opportunity to be part of an innovative company shaping the future of exploration and technology.

The Role

As an Executive Assistant, you will provide comprehensive administrative and executive support to the Director, helping to streamline operations and ensure smooth business management. You will work closely with the Director, managing their day-to-day activities, coordinating international communication, and liaising with key stakeholders across the UK and US. There may also be an element of personal/family diary management. The director will be based in both the UK and US and so flexibility in working hours will be required.

Key Responsibilities:

  • Diary Management: Organising and managing the Director's busy schedule, ensuring meetings and appointments are aligned across UK and US time zones.
  • Travel Coordination: Arranging international travel, accommodation, and itineraries.
  • Communication Support: Handling emails, phone calls, and correspondence, and responding on behalf of the Director when necessary.
  • Meeting Preparation: Preparing agendas, taking minutes, and ensuring the Director is well-prepared for meetings.
  • Project Management: Assisting in the organisation and execution of key projects, ensuring deadlines are met.
  • Stakeholder Liaison: Acting as a point of contact for internal and external stakeholders, fostering strong relationships.
  • Administrative Tasks: Handling administrative duties, such as filing, documentation, and expense management.
  • International Travel: You will be willing to travel internationally and often at short notice. A valid UK passport is required.

Skills & Experience:

  • Proven Experience: Minimum 5 years' experience in an Executive Assistant, Personal Assistant, or Virtual Assistant role, ideally within a fast-paced and/or Defence or Space sectors.
  • Tech-Savvy: Comfortable with digital tools, communication platforms, and project management software.
  • Excellent Organisational Skills: A natural multitasker with a keen eye for detail and the ability to manage a complex workload.
  • Communication: Exceptional written and verbal communication skills.
  • Time Zone Management: Experience coordinating across multiple time zones, particularly between the UK and US.
  • Proactive Problem Solver: Able to anticipate the Director's needs and resolve issues before they arise.
  • Confidentiality: Discreet and trustworthy, with experience handling sensitive information.
