Hours: 37 Hours Per Week

Job Overview

Our client has an exciting opportunity for an experienced and versatile administrator to join their project team.

The successful candidate will be an asset to the team in supporting the Stores Management Improvement Project in collaboration with key stakeholders. Flexibility is key within the role as the individual is expected to operate within a busy and dynamic environment. At times there may be an opportunity to work from home but this will be discussed in more detail upon the successfulness of an interview. In addition to the role, there may be an opportunity to work with other ASOE colleagues as part of Operational Excellence Project.

The Project Administrator will report directly to the Project Manager to ensure that all project documentation is kept and managed in accordance with Policies and processes.

Job Context & Principal Accountability's

  • Stores SAP updates , inputting stock counts, ND flag and MIGO Updates, updating descriptions and Bill of Materials (BOMS), running reports.
  • Working alongside project team and on site engineers to implement improvements in stores by tagging and processing non-stock, stock, project, outage items and collating information into inventories and updating spreadsheets
  • Assisting Project Manager in creating quality documentation i.e. processes of stock receipting and creating/updating training manuals for stores.
  • Project meetings attendance as instructed, issuing of agendas, minuting the meetings including noting of actions and distribution of approved actions.
  • Project Action Tracker management to include issuing of actions and attendance to weekly project meetings leading to the close out of actions.
  • Management of all project documentation on the project SharePoint document management system including but not limited to:
  • Project planning and key deliverables documentation

o Project contract and governance documentation

o Project document and action registers
o Meeting minutes

  • You will be able to provide an accurate and up-to-date status of the information / document flow whenever requested.
  • You will be pro-active in advising when the next review / approval phase of a document is expected.
  • You will be responsible for ensuring that project team members always have accurate and up-to-date information.
  • Confidentiality of documentation and communications is critical to the project with the complexity of contracts and project structure.

Qualifications, Experience, Knowledge & Skill

  • Excellent communicator with strong interpersonal skills displaying confidence, credibility and professionalism.
  • SAP knowledge and experience preferable in stores.
  • A high degree of computer literacy specifically in the MS office suite.
  • Able to build trust within the company/team, being a dependable and proactive team player.
  • Offer suggestions to improve efficiencies.
  • Have a questioning attitude with the ability to challenge effectively.
  • Must be able to plan and prioritise tasks with excellent time management skills.
  • Have the ability to work on their own initiative and capable of working effectively individually and within a team.
  • Exceptional administration and organisation skills for document storage and upkeep of document register.
  • Proactive and assertive for chasing and expediting documents.
  • Attention to detail for checking documents before issuing.
