Workshop Administrator - Belvedere

We are currently seeking a highly organised and proficient Administrator to join our team, responsible for crime prevention and law enforcement across the London boroughs. The ideal candidate will have a strong understanding of Excel and be ready to start immediately on an ongoing temporary basis.

Day-to-day of the role:

  • Provide efficient administrative support to the Service Reception and Parts departments, maintaining the covert and specialist fleet within Fleet Services' specialist workshop.
  • Manage vehicle bookings into the workshop, handle calls from customers, and schedule appropriate appointment times.
  • Support the Service Reception Manager in delivering an effective and efficient service.
  • Assist in reducing vehicle downtime and maximising fleet availability, supporting operational police officers.
  • Handle daily operations of the reception office and stores function, dealing with queries, receiving and issuing replacement parts, and delivering excellent customer service.
  • Assist with the roadside assistance programme, organising suitable help for defective operational vehicles, and monitoring contractor response times.
  • Process invoices and purchase orders to ensure prompt payment for services.
  • Create job cards for vehicle defects to be diagnosed and repaired by technicians.
  • Report building and workshop equipment faults for timely repairs.
  • Carry out data entry on Fleet systems and Excel spreadsheets, providing accurate daily reports.
  • Assist with weekly management information updates on workshop functions.
  • Work with the parts department to manage the receiving and returning of vehicle parts as required.
  • Take responsibility for personal development and stay updated with relevant standards and legislation.

Required Skills & Qualifications:

  • Good understanding of Microsoft Office products, particularly MS Office Excel and Outlook.
  • Effective communication and interpersonal skills, capable of engaging with staff and officers at all levels.
  • Ability to work effectively alone or as part of a team.
  • Skills in analysing and reviewing data.
  • High proficiency in MS Office, especially MS Excel.
  • Excellent interpersonal skills and a calm disposition under pressure.
  • High degree of data input accuracy.
  • Ability to prioritise workload according to conflicting demands.
  • Good telephone manner.
