You'll be someone who is both comfortable working proactively and managing your own tasks, as well as confident collaborating with others and communicating regularly with senior managers, directors, and BDO's partners to help businesses effectively. You'll be encouraged to identify and draw attention to opportunities for enhancing our delivery and providing additional services to organisations we work with.

We are looking for a Minute Taker to join complex and sensitive meetings held within our HR and ER teams. This person will play an important role in helping to maintain BDO's reputation by the creation of high quality minutes which may be used at Employment Tribunals or requested by our Regulators.

Based within our Shared Services Centre in the Business Support Hub, this person will sit within the National Business Support Stream and have access to a career development framework, regular training and a collaborative community of business support professionals.

Responsibilities

  • To take accurate and high quality non–verbatim and, where necessary, verbatim minutes for formal and strictly confidential HR meetings.
  • Compile quality minutes in a timely manner to a high level of accuracy.
  • Ensure minutes are approved by relevant HR or ER contact and filed in line with agreed turnaround process.
  • Adhere to organisational policies and legal requirements related to the handling of confidential information and exercise utmost discretion and maintain strict confidentiality regarding sensitive information discussed during meetings.
  • To attend ad hoc meetings (at any of our offices but most likely Baker Street) as requested by the HR generalist and Employee Relations teams.

  • Confident written and verbal communicator. Uses appropriate communication style to achieve the desired outcome. Able to relate to people at all levels with ease.
  • Excellent attention to detail.
  • Ability to listen and focus for long periods of time.
  • Excellent organisational and time-management skills - adept at coping with changing priorities to help meet deadlines or respond to urgent issues. Remains calm and focused when working under pressure.
  • Challenges others by asking questions and actively listening to gain understanding and clarity where required.
  • Is highly self-aware. Trusted to respond to sensitive matters appropriately. Exercises good judgement in deciding when to raise issues.
  • Works on own initiative, is self-motivated with good collaborative skills and able to adapt to new processes.
  • Takes personal responsibility for their own development through objective setting and performance management and skills are maintained and up to date and relevant.

Technical knowledge

  • Typing speed of above 60 wpm
  • Demonstrable experience in a related secretarial / business support role
  • Advanced level in Word – good knowledge of Excel, PowerPoint, Outlook and Teams
  • Exceptional spelling, punctuation and grammar
  • GCSE English and Maths (or equivalent)
