Summary

This role will be responsible for data entry, administrative duties and project management tasks as required by the business. The Operations Administrator is a Top User of the EPR system and key manager of internal product information in various systems, as well as Artwork Project Manager for language over-labels. The nature of the role requires exceptional attention to detail, very high organisational skills, med to high Excel level and desirable experience artwork creation / Design software and PDF Adobe.

The Ops admin reports to the Operations Director and will work in coordination with Regulatory, New Product Development, Marketing and Purchasing-Planning team.

Scope of Work

ADMINISTRATIVE and DATA ENTRY/MAINTENANCE

  • Be a top user of the EPR system, ensuring data is entered accurately in a timely manner
  • Review data prepared by other users prior to entry, and query doubts and potential errors swiftly
  • Chase internal and external teams for data required by certain deadlines
  • Keep collaborative and swift communications with internal teams
  • Preparation of reports and forms for external customers.
  • Ensure data is transposed into other files and interfaces as defined by process
  • Maintain Good Documentation Practice

PROJECT MANAGEMENT

  • Responsible for creation of artworks to over-label existing products, according to deadlines.
  • Manage timelines and actions from requirement creation to Artwork release deadline
  • Initiate Product Labelling Report files and distribute to different teams to provide required information (Marketing, Regulatory, Artwork Designer).
  • Prepare text translations and send for external validation.
  • Complete Product Labelling reports and brief artwork designer.
  • Review and proof check all artwork files created to ensure no errors
  • Coordination of all artwork actions, ensuring Print files are approved and released in a timely manner and include all the information required.

  • Ensure all key teams have signed-off artworks for their respective sections.
  • Create and maintain product copy files in local languages, ready for web uploads and New Line Forms
  • Responsibility to query discrepancies
  • Ensure good documentation practice is observed with meticulous file processing and saving.
  • Escalate issues promptly to line manager.
  • Be owner of the process and propose improvements to streamline.

What we're looking for:

  • Excellent eye for detail and data entry accuracy
  • Experience with data entry, Excel and EPR system use
  • Artwork, Print and packaging experience desirable.
  • Familiar with design software: Adobe Illustrator, Proof HQ.
  • Good organisational and communication skills.
  • Team player - collaborative working style.
  • Ability to work independently in a fast-paced environment.
  • A sense of urgency and an ability to execute multiple tasks speedily and effectively to ensure deadlines met.
