Assistant Facilities Coordinator

Randstad are working with a Global Facilities Management client who are seeking a diligent and proactive Assistant Facilities Coordinator to join their dynamic team in Newcastle upon Tyne. The successful candidate will play a crucial role in ensuring the smooth operation of our facilities, overseeing both administrative and practical aspects of our site management.

The Package

  • Competitive salary of £29,000 per annum.
  • 40-hour work week with a structured 8:00 AM to 5:00 PM schedule.
  • Generous holiday allowance of 25 days plus bank holidays.

Main Duties:

  • Administration of the Logbooks held on-site, E-logbooks, reactive and preventative maintenance.
  • Preparation, scheduling, and administrative duties for contractors while on-site.
  • Administrative duties associated with control of extra works and projects.
  • Liaising with contractors and arranging site and maintenance services.
  • Assisting in contractor management of FM services, including HVAC, Fire Safety, Soft and Hard FM, Security, Water Treatment.
  • Creating PTW for all scheduled works.
  • Providing or coordinating escorting duties and access requests as and when needed.
  • Ensuring any remedial action from checks and contractor site visits are reported and progressed.
  • Assisting with organising office renovations and moves.
  • Providing daily reminders of scheduled works to Reception, Security, and FM Team.

Previous Experience:

  • Proven experience in a similar role within facilities management.
  • Helpdesk or Administrative experience.
  • Strong administrative and organisational skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in using e-logbooks and other FM software.
  • Ability to manage multiple tasks and work under pressure.
