Lettings Administrator

Jo Holdsworth Recruitment are currently working with a highly successful company based in central Leeds. Working with multiple successful estate agencies around the UK, my client offers a service which allows them to stay in control of their sales pipeline whilst providing assistance in multiple areas. Since opening their doors over 20 years ago, they have significantly grown as a business and are looking to expand their team due to success.

They are currently recruiting for a Letting's Administrator to join them on a full time and permanent basis. This is the perfect opportunity for someone who has administrative/customer service based experience or for someone who is looking to start a new and exciting role! You will be joining a friendly and energetic team who love to work with motivated, driven and organised individuals who are eager to work in a varied environment.

Some of the responsibilities include:

  • Accurately deal with queries from Estate Agents and Letting agents over the phone and on email, regarding systems, processes and services in a timely fashion
  • Deal with administration surrounding conveyancing leads and inventory bookings which are received via inbound telephone and email
  • Liaise with suppliers, namely law firms and inventory clerks to ensure SLAs are met
  • Build rapport with clients and suppliers alike through excellent telephone and e-mail manner
  • Responsible for issuing daily reports
  • Liaise with customers over the phone and on email to take details of their conveyancing case
  • Monitoring mailboxes, ensuring all orders are processed efficiently and accurately
  • Build rapport with clients and suppliers alike through excellent telephone and e-mail manner
  • Dealing with fee amendments on instructed files, ensuring correct details logged with IT and all relevant parties notified of any changes
  • Dealing with relevant tasks when any given member of the team is on leave to ensure no downturn in productivity
  • Make outbound sales calls on behalf of the sales team, when required

Experience Required:

  • Previous experience of working in a busy office environment
  • Excellent communication skills
  • Ability to manage a varied workload
  • Ability to meet tight deadlines and targets & work under pressure
  • Ability to work on own initiative
  • Excellent attention to detail
  • Excellent organisational skills
  • Ability to provide guidance and feedback to peers
