Accommodation and Welfare Coordinator

£24k-£25k Per Annum
Eastbourne, Office Based

Duties:

  • Arranging revisits of existing hosts who have not been visited for 2 years
  • Revisiting homestays
  • Typing up visit details and filing
  • Contacting referee to obtain mailing addresses and generating letters for referees
  • Maintaining spreadsheets and files for Host References Returned and Changes and Complaints
  • Informing hosts of taxi transfer details and arrival information of students
  • Contacting agents/students to obtain arrival details
  • Emailing agents/students one week prior to student arrival to check visa situation
  • Maintaining spreadsheets for hosts fire risk assessments, gas safety checks and declaration forms
  • Assisting the Accommodation & Welfare Officer with updating and maintaining records of all information received
  • Chasing receipt of Parent Consent forms from agents and students and keeping track of sending copies of Parent Consent Forms to hosts
  • Running weekly reports of contact details and next of kin for students
  • Providing welfare advice for students under 18 years of age, and meeting with them during their first week in Accommodation & Welfare Officer's absence
  • Running quarterly forums for students under 18 years of age together with Accommodation & Welfare Officer
  • Dealing with all accommodation and welfare administration to do with students under 18 years of age in Accommodation & Welfare Officer's absence
  • Any other administrative support which may arise that may be relevant to the accommodation office
