We are seeking a dedicated Contracts Administrator to provide high-quality and professional administration support to our Contract Managers, Site Staff, and Colleagues. This role is integral to the smooth operation of our projects and requires a proactive individual who can effectively manage a variety of administrative tasks.

Day to Day of the role:

  • Work directly with the Contracts Managers to support all project-related administration.
  • Obtain quotes from suppliers and place orders/call-offs for projects, ensuring adherence to the Procurement Schedule.
  • Create and maintain Health & Safety files, risk assessments, and method statements.
  • Produce and update Operation & Maintenance manuals, ensuring certificates are registered with the appropriate authority.
  • Handle incoming Pre-Qualification Questionnaires (PQQs) and maintain approved status with clients.
  • Manage the Sub-Contractor Database, keeping Supplier Insurances up to date.
  • Assist with the maintenance of office systems, including data management, databases, spreadsheets, and filing.
  • Provide administration support to the Directors and Administration Team Leader.
  • Liaise with the design team and maintain office diary system and client database.
  • Monitor emails for nominated staff members when they are out of the office.
  • Perform general administrative and office duties, including screening phone calls and handling enquiries.

Required Skills & Qualifications:

  • Ability to work under pressure, meet tight deadlines, multitask, and prioritise a varying workload.
  • Excellent telephone manner and communication skills.
  • Proficiency in IT, particularly Microsoft Word and Excel.
  • A willingness to learn and adapt to new challenges.
  • Industry experience is beneficial but not essential.
  • DBS Checks may be required for this position.
